What a Buying Agent in China Manages Across the Commercial Workflow
When overseas importers work with a buying agent in China, the value is not only in locating suppliers. It is in controlling the commercial details that decide whether an order arrives on time, at the agreed cost, and to the agreed specification. Mutual Trade is a sourcing and purchasing agent based in Yiwu, working with wholesale buyers such as importers, distributors, chain stores and supermarkets. This page sets out how the commercial side of an order is handled in practice.
From enquiry to confirmed order
A procurement agent's work begins before any deposit is paid. The first stage is requirement confirmation, typically one to three days, where specification, target quantity, packaging and destination are fixed. From there the agent assembles supplier options — usually three to five alternatives compared on cost, lead time and quality risk — and obtains samples where needed.
Once a supplier is selected, the commercial documents are prepared and reviewed:
- Quotation and proforma invoice (PI) — unit price, tooling or setup charges where applicable, packing costs and testing costs itemised separately rather than bundled into a single figure.
- Contract terms — Incoterms 2020 stated explicitly, most commonly FOB Ningbo or Shanghai, with EXW, CIF and DDP also used depending on the buyer's preferences and destination.
- Quality standard — the AQL level agreed and written into the order, typically AQL 2.5 or 4.0 sampling, with a stricter 0.65 level available on request.
- Production follow-up — scheduled checkpoints through the purchasing and production window, which runs roughly 15–45 days after order confirmation for standard ranges.
Payment terms in practice
As a purchasing agent in China, we structure payment to match order size and the buyer's history with the supplier base:
- T/T 30% deposit plus 70% balance against a copy of the bill of lading or before shipment is the standard arrangement.
- L/C is used for larger orders and for first orders where both sides prefer bank intermediation.
- PayPal or Alipay suits small test orders and samples under US$2,000.
- Staged 30/30/40 is available where production is long or tooling is involved.
- Framework agreements, quarterly or annual, can lock exchange rates and batch pricing for repeat buyers, which reduces exposure to currency movement across a season.
How pricing stays transparent
Transparency comes from comparison and itemisation. Quotations from competing suppliers are presented side by side, so the buyer can see where a lower unit price is offset by longer lead times or higher quality risk. Step pricing is shown by quantity band, making the cost effect of a larger run visible before commitment. Packing, labelling, testing and inspection costs appear as separate lines, including third-party laboratory testing coordinated with ISO 17025 facilities such as SGS, BV, TUV or Intertek where the destination market requires it.
Order sizes we typically run
Typical minimum order quantities sit between 100 and 800 pieces per style, varying by category — household goods at the lower end, textiles and apparel higher. Orders are grouped into three commercial tiers:
- Small — under US$5,000, often a first order or a test of a new SKU.
- Mid — US$5,000 to US$50,000, the most common band for wholesale restocking.
- Large — above US$50,000, usually multi-SKU or multi-category consolidated loads.
Ongoing supply programmes
Many buyers move from single orders to a repeating programme. A sourcing agent can support monthly restocking against a fixed specification, seasonal packs assembled and relabelled in the Yiwu warehouse, and annual framework agreements that hold pricing and exchange rates across the year. Holiday and seasonal ranges should be locked 90–120 days ahead to allow for production, inspection and sea freight transit.
Throughout, quality issues are reported within 24 hours and tracked through a 24–48–7 day closure loop, and inspection reports with photos, video and defect lists are sent at least three days before shipment.
